Sourcing & Booking Policy

To ensure a smooth and efficient service experience, please note the following regarding bookings (including events, travel, and accommodation):

  • Pricing and availability are dynamic and may change at any time until secured.

  • All bookings are subject to availability.

  • We will always present the most suitable options available at the time of sourcing.

 

For time sensitive requests, we may request a budget range or approval ceiling to act swiftly on your behalf.

 

Please note that all confirmed bookings are final and non-refundable, unless otherwise specified by the provider or supplier terms.

Agency Disclaimer

  • Savoir Concierge acts solely as an intermediary between the client and third-party providers. We are not the supplier of tickets, travel, or accommodation services.

  • Savoir Concierge does not guarantee access to specific tickets, seats, or accommodations until confirmed and secured.

  • Any changes requested after confirmation may be subject to additional charges and availability.

  • We reserve the right to decline or discontinue a request at our discretion.

Third Party Responsibility

  • All bookings are subject to the terms, conditions, and policies of the respective providers.

  • Savoir Concierge is not liable for cancellations, schedule changes, delays, or service disruptions arising from third-party providers, including airlines, hotels, and event organisers.

No Guarantee of Availability

  • Availability cannot be guaranteed until booking is confirmed and payment has been processed.

  • Prices are not guaranteed until confirmed and secured.

Client Responsibility​​

  • Clients are responsible for all costs associated with approved bookings, including charges processed using their authorised payment method. Approval of a booking constitutes acceptance of all related costs, fees, and third-party provider terms.

  • Any additional costs arising from third-party provider pricing changes, fees, or service adjustments, or from client-requested amendments after approval, remain the responsibility of the client.

  • Clients are solely responsible for the accuracy of all information provided. Any costs, fees, or penalties arising from incorrect details, booking amendments, or changes after approval—whether imposed by third-party providers or otherwise—shall be borne by the client.

Payment Policy

  • All concierge services are invoiced separately from any third-party booking costs. The client is responsible for payment of both the Savoir Concierge service fee and any external supplier charges relating to bookings, including but not limited to events, travel, flights, and accommodation.

  • Savoir Concierge acts as an authorised booking facilitator on behalf of the client, arranging travel and concierge services strictly in accordance with client instructions. Where applicable, we provide curated itineraries and secure booking links, allowing all payments to be completed directly between the client and the relevant third-party travel providers (including airlines, hotels, and service providers).

  • To maintain compliance with PCI DSS requirements, Savoir Concierge does not collect, store, process, or transmit client payment card details at any time. All payment information is entered directly by the client through secure third-party payment systems and is never accessible to Savoir Concierge.

  • Pricing for third-party services is dynamic and not guaranteed until the booking has been successfully secured. In the event of a price change prior to confirmation, we will notify the client immediately and request approval before proceeding.

  • All concierge service fees are payable in advance or upon invoice, as specified at the time of engagement. Savoir Concierge does not extend credit and reserves the right to decline or pause services until payment has been received.

  • All concierge service fees are issued via secure digital invoice and are payable online through a secure payment link upon receipt.

  • Once a booking has been confirmed and secured, all third-party payments are final and subject to the cancellation, refund, and amendment policies of the respective provider.

  • A non-refundable deposit may be required depending on the nature and urgency of the request. Any deposit will be credited toward the final private concierge service invoice issued.

Refunds

  • All confirmed bookings are final and non-refundable unless otherwise specified by the third-party provider

Changes to This Policy

  • We may update this Sourcing & Booking Policy from time to time. Updates will be posted on this page with a revised “Effective Date.”
